Legal Administrative Assistant
G & G Law, LLC is hiring a Legal Administrative Assistant to spearhead client communication and keep the trains running in our small business law firm. It’s a dynamic and flexible position, and the hiree will have the opportunity to shape the role and contribute to the character and processes of the firm. If you like marketing, sales, project management, or another aspect of the job, you can develop the role towards that emphasis. The position is full-time, 35 hours per week. There will be opportunities for professional growth, with employee input. As our firm grows, we want our people to lean into roles that they find fulfilling.
 
Responsibilities:
The Legal Administrative Assistant is the first (and often most frequent) point of contact our clients have with us, so it involves frequent communication with clients and potential clients. It’s involved in most anything that doesn’t require a legal degree.
 
Specifically, the position will:
 

  • Set the tone of our client relationships.
  • Take ownership of legal project and workflow management.
  • Manage, maintain, and innovate our CRM and practice management software.
  • Create and run weekly and quarterly reports on firm metrics.
  • Communicate with potential clients.
  • Maintain complete and organized firm and client records.
  • Manage our contractors (bookkeeper, benefits advisor, SEO strategist, etc.).
  • Oversee our billing processes (drafting and sending engagement letters, reviewing and sending invoices, etc.).
  • Assist attorneys with client matters as needed.
  • Manage the office (pay bills, communicate with the landlord, keep supplies stocked, etc.).
  • Develop and execute quarterly marketing plans and content strategy.
  • Review and share marketing materials.
  • Create educational materials for newsletters and the website.
  • Maintain and expand our professional referral network.
  • Perform other duties as needed.
 
Requirements*:
-Detail-oriented and organized, with the ability to track or recall specific client and project information.
-Professional and friendly client-facing demeanor.
-Ability to prioritize and efficiently manage several different projects.
-Ability to quickly learn software and technology (such as practice management tools like Clio and CRMs like Insightly).
-Excellent writing skills (bonus points for a deep-set hatred of legalese).
-Problem solver.
-Effective leadership and management skills.
-Collaborative team worker.
-Ability to adapt to a role with numerous and shifting responsibilities.
-Bachelor’s degree or beneficial work experience.

Salary range is $45,000-$55,000, commensurate with experience. We offer health, dental, and vision insurance plans.
