DANK Haus Seeks Event & Hospitality Coordinator

The leading German American Cultural Center in the Midwest region, the mission of the DANK Haus is to promote and preserve German and German American Culture, heritage and language through maintaining a center at Lincoln Square in Chicago, consisting of a museum, art gallery, library, and language school; organizing educational and social programming focusing on and emphasizing the history, traditions and contributions of Germans and German Americans.
 

The Event & Hospitality Coordinator responds to inquiries regarding function room bookings, answers questions about service offering, maintains the events calendar, provides service during weekly, monthly and one-time events. This includes day-to-day organizing, greeting and directing visitors, coordinating and facilitating venue visits, organizing cultural events, and supporting the administration of the office. The Event Coordinator will strive to improve the efficiency and streamline the venue rental process and internal event coordination. They will be familiar with the DANK Haus and develop a deep knowledge of the operations and business of the organization. The Event & Hospitality Coordinator will report directly to the Executive Director.

As an Event & Hospitality Coordinator you are representing the organization to customers, guests, and visitors of the DANK Haus. 

Part time position, 25-30 hours a week, mainly on site.
 

Responsibilities
 

  • Liaison for venue bookings across the DANK Haus

  • Determine workflow improvements and offer solutions

  • Create event marketing content

  • Assist with website updates to events & rental pages

  • Assist to ensure programming and events at the DANK Haus are scheduled, organized, decorated, or generally set up in time

  • Direct Volunteers and Interns

 

Qualifications & Skills

  • Hotel Food and Beverage experience

  • Service oriented style with professional presentations skills

  • Hotel/Hospitality degree an asset

  • Must possess the following strengths: high energy, entrepreneurial spirit, motivational, proven track record in high volume concept, effective communicator, proven effectiveness in providing exceptional customer service and ability to improve the bottom line, detail oriented, exceptional organizational skills

  • Clear and concise written and verbal communication skills

  • Must have excellent organizational, interpersonal and administrative skills

  • Experience implementing new F&B concepts

  • Ability to function under pressure

  • Ability to prioritize tasks in a dynamic environment

  • Ability to engage with diverse groups

  • Ability to learn new software and procedures quickly

  • Flexible to work evenings/weekends as needed

  • Beginner proficiency in German is preferred

  • Must be proficient in Microsoft Word and Excel

Tasks include, but are not limited to
  • Monitor e-mail inquiries

  • Monitor phone calls and voice messages for booking leads

  • Create contracts for all rentals

  • Correspond with rentals to ensure Guests are satisfied with the spaces

    • Edit contracts if needed for Add-ons

    • Hire security and bartenders if requested

    • Work with renter and facilities to ensure layout for events

    • Acquire COI’s from all renter’s vendors

  • Conduct venue tours and walkthroughs

  • Ensure payments are collected from all rentals 

  • Help plan and facilitate events

    • Find volunteers to lead a cooking class, set up, menu making, and day of coordination

    • Help with Stammtisch - set up, menu making, and day of coordination
